Property Coordinator (Regular Full-Time)

Position Summary

Responsible for real estate accounting, analyses, budgeting and cost tracking, review and forecasting and other assigned project functions.  Assist with day-to-day management of assigned assets, which shall include tenant and vendor relations, accounting and administrative duties.

 

 

Essential Job Duties and Functions

  • Prepare and reconcile annual budgets and quarterly latest view reporting.
  • Assist with financial analysis of leases, licenses and other transactions.
  • Verify and monitor tenants’ sales reports and percentage rent calculations, including completing annual reconciliations.
  • Assist with review of the performance of the outside contractors and contract renewals and/or modifications.
  • Assist with the services of external legal counsel to ensure proper documentation of all contracts.
  • Assist with accounting and expense coding, reporting and tracking including monthly P&L review and year-end accruals.
  • Assist with construction requirements such as processing and administration of bonds, permit fees, renewals and other items.
  • Assist with YARDI system integration.
  • Assist with lease administration.
  • Interface and coordinate with Accounting, Financial Services and other departments to provide necessary data and information.
  • Undertake special projects, research, asset management and other related duties as assigned by management.
  • Schedule appointments; furnish information and/or direct outsiders to proper Company personnel.
  • Assemble information and prepare correspondence and reports for internal and external submittal.
  • Coordinate the import of new leases and other documents into the company’s accounting system. Prepare third party billings and reimbursement requests.  Support asset management in lease data collection, data entry and tenant coordination.
  • Prepare and process legal documents for execution including scanning of documents for records retention.
  • Communicate with tenants, service providers and project applicants to furnish or obtain information.
  • Track critical deadlines including the expiration of permits, government submittals, third party deadlines.
  • Maintain filing systems for critical documents and contractual provisions in network and other file sharing systems.
  • Assist with asset valuations.
  • Assist with annual and five-year plan presentation materials including financial data input and reconciliation.
  • Assist with annual asset plans and leasing criteria.
  • Perform similar and incidental duties as required.
  • Comply with all company policies and procedures.

 

 

Qualification Requirements

Education/Training

Minimum:

  • Bachelor’s degree in Business Administration, Finance, Accounting, or a related field; or equivalent combination of education and related work experience.

Experience

Minimum:

  • 2+ years of experience in accounting, finance, lease administration, asset/property management, or related business/administrative support.

Preferred:

  • 3+ years of relevant experience in accounting/financial analysis, asset/property management, or real estate administration.
  • Experience in real estate, property management, or construction administration.
  • Experience with real estate/accounting software.

Skills/Knowledge

Minimum:

  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Strong organizational skills with the ability to manage multiple tasks, track deadlines, and maintain attention to detail.
  • Effective written and verbal communication skills to interact with tenants, vendors, contractors, and internal departments.
  • Understanding of leases, licenses, contracts, and percentage rent calculations.
  • Familiarity with accounting principles and financial reconciliations.
  • Knowledge of budgeting and financial reporting.

Preferred:

  • Knowledge of leases, licenses, contracts, and percentage rent calculations.
  • Strong analytical and problem-solving abilities with demonstrated experience preparing budgets and quarterly reporting.
  • Experience coordinating with outside vendors, tenants, or legal counsel.
  • Advanced Excel skills (pivot tables, lookups, financial reports).

 

 

Job Conditions

  • Normal working conditions, indoors, air-conditioned. 
  • Usual hours are Monday-Friday, 8:00 a.m. to 5:00 p.m.  Hours may be flexed and duties may require extended hours.

 

 

Mental and Physical Demands

  • This position requires frequent sitting, standing, walking and bending.
  • Occasional stress during deadline periods.

 

 

Terms of Employment

Employment is “at will” and can be terminated at any time, either by the employee or James Campbell Company, with or without cause or reason and with or without notice.
